# Frequently asked questions

## What is SigMonster?

SigMonster is an email signature management platform that lets individuals and organisations create, update and roll out consistent HTML email signatures from one place. People choose a template, fill in their details and add the signature to their email client. Organisations can manage everyone's signatures centrally.

## How does organisation-wide rollout work with Microsoft 365?

An organisation administrator sets the template and organisation-wide values once in SigMonster, and every person's signature follows them. Each person then copies their signature into Outlook. Automatic deployment to Microsoft 365 mailboxes is planned, but not available today. Administrators invite people or upload a spreadsheet of contact details, choose a template, and set which fields are a default, an override or disabled. When the signature or template changes, the signature images are regenerated automatically.

## What does SigMonster cost, and is there a trial?

SigMonster is free for individual use, personally or professionally, and has paid plans for teams and organisations. There is a Free plan, and paid plans start with a free trial the first time an organisation moves onto one. The current plans, their limits, their prices and the length of the trial are shown on the pricing page. Pricing is not stated here. Plans, limits, prices and trial lengths come from the plan model, and anything that shows pricing must compose it from there at render time.

## Which email clients and platforms does SigMonster support?

SigMonster signatures work in Gmail, Outlook and Apple Mail, and in other email clients that accept an HTML signature. Customers sign in with a Microsoft account, a Google account or an email address and password. Automatic deployment to Microsoft 365 and Google Workspace mailboxes is planned.

## Is SigMonster secure?

SigMonster encrypts data in transit and at rest, limits access to the people who need it, and keeps credentials in secure key vaults. Identity and authentication services are self-hosted. Signature images are public by design so that they can appear in emails, so a signature should only contain what you are happy for recipients to see. If a breach affects customer data, we notify the affected organisations within 48 hours of detecting it.

## What data does SigMonster collect, and where is it stored?

SigMonster collects the details in a person's signature, sign-in details from the provider they choose, and basic usage information. Servers are in the United States, hosted by Linode (Akamai). Signature images are delivered through Cloudflare, and payments are handled by Stripe, which means SigMonster does not store full card details. SigMonster does not sell personal information. Web server logs are deleted within 7 days at most, and deleted data is removed from backups within 30 days.

## Does SigMonster comply with the GDPR?

SigMonster handles personal information in line with the EU and UK GDPR, as well as the Australian Privacy Principles, and has a GDPR page that explains how. For signature data that an organisation manages, the organisation is the controller and SigMonster is its processor. SigMonster offers a Data Processing Agreement under Article 28 of the GDPR to customer organisations, and lists its sub-processors.

## Can I use my own domain?

Yes, on plans that allow custom domains. An organisation claims a domain name it owns and SigMonster verifies ownership. The organisation then manages the signatures of everyone with an email address at that domain, and its signature images and links are served from that domain. The number of domains allowed depends on the plan, which the pricing page shows.
